Position Summary

The Purchasing Officer will support the Purchasing Manager in coordinating the hotel's pre-opening procurement requirements and ongoing purchasing activities. The role will obtain quotations, prepare purchase orders, maintain supplier and procurement records, follow up deliveries and ensure that goods and services are sourced in accordance with approved specifications, budgets and Pan Pacific procurement standards.

Key Responsibilities

• Support the sourcing and timely procurement of pre-opening OS&E, equipment, food, beverage, operating supplies and contracted services.
• Obtain and compare quotations, prepare bid analyses and submit recommendations for review and approval in accordance with procurement procedures.
• Process purchase requisitions and purchase orders accurately, ensuring approved specifications, quantities, prices, cost centres and authorisations are complete.
• Follow up with suppliers on order confirmation, production status, delivery schedules, back orders and required documentation.
• Maintain an accurate supplier database, contracts, quotations, purchase records, price histories and procurement-system information.
• Coordinate with Receiving, Stores, Finance and user departments to resolve delivery, quality, quantity, invoice and payment discrepancies.
• Support supplier evaluation and ensure vendors meet the hotel's quality, compliance, ethical sourcing and service requirements.
• Assist with stock checks, market surveys, cost-saving initiatives and procurement reports while maintaining confidentiality and proper segregation of duties.

• Diploma or Bachelor's Degree in Procurement, Supply Chain, Business Administration, Finance or a related field.
• Minimum 2 years of purchasing or procurement experience, preferably within an international hotel or hospitality environment.
• Good knowledge of quotation analysis, purchase-order processing, supplier coordination and document control.
• Proficiency in Microsoft Office and purchasing or finance systems, with strong numerical accuracy and attention to detail.
• Good negotiation, communication and organisational skills with working proficiency in English and Khmer.
