A. DIARY & CALENDAR MANAGEMENT
• Manage the CEO’s full agenda across all three roles (ABG, EIAA, Eurasia Trust)
• Schedule, confirm, and coordinate all internal and external meetings, appointments, and calls
• Proactively protect the CEO’s time — flag conflicts, avoid double bookings, and ensure adequate preparation time before every engagement
• Maintain a master weekly and monthly calendar shared with the CEO
• Send timely reminders and daily morning briefings covering the day’s schedule, priority tasks, and pending items
• Reschedule or decline appointments where necessary, with professionalism and diplomacy
B. COMMUNICATIONS MANAGEMENT
• Screen, filter, and manage the CEO’s incoming emails, messages, and calls across all entities
• Draft, proofread, and send correspondence on behalf of the CEO — emails, letters, memos, WhatsApp messages
• Ensure the CEO’s communications are always professional, timely, and on-brand
• Manage priority escalation: identify what requires the CEO’s immediate attention vs. what can be delegated or deferred
• Maintain accurate records of all key communications and follow up on outstanding responses
• Liaise with internal teams, subsidiaries, and external partners on behalf of the CEO
C. DOCUMENT, FILING & PRINT MANAGEMENT
• Organise, maintain, and manage all CEO documents — physical and digital — in a structured, accessible filing system
• Prepare, print, bind, and present all documents, reports, presentations, and board packs in a professional format
• Manage the CEO’s printer, stationery, and office supplies — ensure nothing ever runs out
• Prepare meeting packs, briefing documents, and presentation folders in advance of every meeting
• Ensure all printed materials are accurate, correctly formatted, and ready before they are needed
• Maintain a secure archive of signed agreements, MOUs, board resolutions, and strategic documents
• Handle confidential documents with the highest level of discretion — no exceptions
D. MEETING & BOARDROOM MANAGEMENT
• Prepare and set up meeting rooms in advance of every internal and external meeting
• Arrange refreshments, seating, AV equipment, and printed materials before guests arrive
• Greet and receive guests, visitors, board members, investors, and partners at the building entrance or reception on the 22nd floor
• Escort guests to and from the meeting room, lift, and building exit with professionalism
• Take accurate minutes during meetings when required and distribute them promptly
• Follow up on action items and decisions from meetings on behalf of the CEO
• Ensure meeting rooms are reset and cleared immediately after every session
E. GUEST & VISITOR MANAGEMENT
• Act as the professional face of the CEO for all visitors to the office
• Coordinate guest arrivals and departures — liaise with building security, reception, and parking as needed
• Manage lift access and floor clearance for visitors to the 22nd floor, JS Tower
• Prepare welcome arrangements for VIP guests and delegations — name cards, gift packs, refreshments
• Maintain a visitor log and ensure all guests are properly registered and accounted for
• Coordinate transportation for guests when required
F. TRAVEL & LOGISTICS COORDINATION
• Arrange all domestic and international travel for the CEO: flights, hotels, ground transport, and airport transfers
• Prepare detailed travel itineraries including schedules, contacts, addresses, and documentation
• Manage visa applications, passport renewals, and travel documentation
• Coordinate accommodation and logistics for visiting executives and board members
• Ensure the CEO has everything he needs before, during, and after every trip
• Handle last-minute changes and disruptions to travel plans efficiently and calmly
G. ORDERS, PROCUREMENT & OFFICE ADMINISTRATION
• Place and manage all orders required by the CEO: office supplies, printing materials, stationery, gifts, and operational items
• Liaise with suppliers, couriers, and service providers on behalf of the CEO
• Track orders, deliveries, and receipts — ensure nothing is lost or delayed
• Manage petty cash and expense records related to the CEO’s office
• Submit expense claims and reimbursements accurately and on time
• Coordinate with the finance team on CEO-related expenditures
H. STRATEGIC SUPPORT & RESEARCH
• Prepare briefing notes, summaries, and background research before meetings and engagements
• Compile market information, company profiles, and contact details for the CEO’s reference
• Support the CEO in tracking key project milestones, deadlines, and deliverables across EIAA, Eurasia Trust, and ABG
• Prepare PowerPoint presentations, reports, and board documents when directed
• Monitor and flag upcoming deadlines, renewals, and strategic commitments on the CEO’s behalf
• Assist with the preparation of MOUs, agreements, and formal correspondence for review by the legal team
I. CROSS-ENTITY COORDINATION
• Serve as the primary point of coordination between the CEO and the management teams of ABG, EIAA, and Eurasia Trust
• Liaise with subsidiary CEOs, DCEOs, and department heads on scheduling, documents, and follow-ups on behalf of Dr. Evengroen
• Coordinate with the Legal & Compliance team, Finance, and HR as required by the CEO
• Support the preparation of bi-weekly and board-level meetings across all entities
• Maintain awareness of key activities across all three entities to keep the CEO properly informed
J. PERSONAL & CONFIDENTIAL MATTERS
• Handle personal appointments, reservations, and errands for the CEO when required
• Manage sensitive and confidential information with absolute discretion — no information relating to the CEO, the company, clients, or business partners is ever shared externally
• Maintain the CEO’s personal contact directory and relationship records
• Assist with personal scheduling, family coordination, and personal logistics when requested
