Position Overview

The Admin Operations Supervisor is responsible for designing and improving the "Organizational OS (Operating System)" that supports the entire organization's operations.

This position is not a general management role. Working closely with the CEO, the Supervisor designs the organization's operational structures, systems, rules, and business processes.

Core Mission:

■ Systemization of organizational operations

■ Structural design of business processes

■ Optimization of operational costs (Cost Optimization)

■ Reduction and automation of manual tasks (Automation)

■ Structural problem solving for recurring issues

 

The goal is to build a system where the organization is controlled through structures and rules, not through individual judgment or emotional responses.

1. Key Responsibilities

■ Organizational OS Design

  • Design and improve internal rules and systems

  • Design and standardize business processes

  • Build organizational operation frameworks

■ Systemization

  • Design rules that do not depend on individual human judgment

  • Standardize business flows and create operational manuals

  • Systematize decision-making processes

■ Automation

  • Reduce and automate manual tasks

  • Promote the introduction of digital tools

  • Improve operations using AI tools

■ Structural Problem Solving

  • Analyze root causes of recurring problems

  • Design and implement structural solutions

  • Continuously refine rules and processes until problems are sustainably resolved

■ CEO Support

  • Analyze and report on organizational operation issues

  • Propose improvements to internal systems and rules to CEO

  • Drive organizational improvement projects

■ Cross-Department Communication Improvement

  • Identify and analyze issues in inter-department collaboration

  • Design frameworks that promote effective communication

  • Introduce and improve internal tools and systems

Example Tasks

■ Design and improve attendance management systems, ensuring fairness and revising rules when issues are identified

■ Design inter-department communication frameworks and collaboration systems

■ Evaluate and introduce internal tools (hardware and software)

■ Design and improve labor management systems

■ Optimize office operations and workplace environment

■ Research and analyze organizational issues, propose improvement plans

■ Revise internal rules and design new systems

■ Research global best practices from leading organizations and adapt them internally

■ Improve and update existing operations and systems using AI

Required Skills

■ Analytical Thinking

Ability to structurally analyze problems and design solutions through systems and rules. Decisions should be based on logic and rules, not personal judgment.

■ Business Process Design

Ability to understand business flows and design systems that improve efficiency. A foundational understanding of organizational management is required.

■ Research and Information Gathering

Strong ability to research best practices from organizations worldwide and propose adaptations that fit the organization.

■IT Literacy

Digital skills to effectively use office software, business management tools, collaboration platforms, and AI tools.

■AI Utilization

Ability to leverage AI tools to improve and update existing operations and systems.

The Supervisor is the "designer" of organizational operations. The role is not to run daily operations, but to build the structures that enable the organization to function sustainably.

◉ Qualifications:

■ Bachelor’s degree in Business Administration, Management, or a related field

■ Proven experience in a supporting role (e.g., Executive Assistant, Administrative Assistant, or similar)

■ Experience working with office operations, attendance management, or internal coordination

■ Strong organizational and multitasking abilities
■ Proficiency in MS Office and basic office software

■ Accurate administrative processing (data entry, document management, reporting)

■ Clear communication skills in Khmer and English

■ High level of accuracy and attention to detail
