Front Desk & Family Support
- Greet clients and visitors in person and professionally respond to calls/messages.
- Check in/check out patients, verify basic info, and ensure paperwork is complete.
- Provide a welcoming, calm, and organized environment for families and children.
- Assist families with directions, clinic policies, and appointment expectations.
Scheduling & Documentation Support
- Schedule, reschedule, and confirm appointments in the clinic system.
- Track cancellations, no-shows, and openings, and communicate changes appropriately.
- Support clinicians by preparing schedules, intake packets, and session-related documentation.
Administrative Operations
- Maintain accurate records (paper or electronic) and ensure files are organized.
- Handle routine correspondence (emails, phone scripts, parent communication templates).
- Process basic forms and assist with referral paperwork as needed.
- Perform light office duties (printing, scanning, filing, ordering supplies).
Billing/Insurance Support (if applicable—non-claims role)
- Collect copays and document payments.
- Assist families with basic insurance/benefit questions using clinic-approved scripts.
- Escalate billing issues to the billing coordinator/manager.
