Job Description

  • Executive Support: manage the Managing Director’s daily schedule, including organizing and prioritizing meetings, appointments, and calls.
  • Prepare and coordinate materials for internal and external meetings, including reports, presentations, and agendas.
  • Ensure the Managing Director is well-informed of daily priorities and prepared for upcoming commitments.
  • Communication Management: serve as the main point of contact between the Managing Director and internal/external stakeholders, including clients, farmers, suppliers, investors, and government agencies.
  • Draft, review, and respond to emails, memos, reports, and other business correspondence on behalf of the Managing Director.
  • Ensure effective and clear communication within the leadership team and across the organization.
  • Travel and Logistics: plan and coordinate complex travel arrangements, including visits to agricultural sites, meetings with suppliers, and international trade events.
  • Prepare detailed travel itineraries and ensure all logistics are seamless.
  • Meeting and Event Coordination: schedule and organize board meetings, senior leadership meetings, and industry events.
  • Record minutes, prepare follow-up action plans, and track progress.
  • Assist with company events, including agricultural expos, community outreach programs, and investor gatherings.
  • Project Support: assist the Managing Director with special projects such as new agricultural initiatives, sustainability programs, and business development strategies.
  • Research industry trends, regulations, and innovations to support informed decision-making.
  • Document Management:  organize and maintain confidential files, contracts, and agreements related to operations, partnerships, and industry compliance.
  • Compile reports and summaries for leadership reviews, including financial, operational, and market performance data.
  • Operational Oversight: collaborate with departmental heads to monitor progress on key initiatives and ensure alignment with the Managing Director’s priorities.
  • Proactively identify potential challenges and provide solutions to support smooth operations.
  • Stakeholder Relationship Management: liaise with agricultural stakeholders, including farmers, suppliers, distributors, and regulatory authorities.
  • Ensure the Managing Director stays updated on key stakeholder concerns and opportunities.
  • Qualifications and Skills: education: Bachelor’s degree in Business Administration, Agriculture, or a related field preferred

Job Requirements

  • Minimum 5+ years of experience as an Executive Assistant or in a similar role, ideally within the agricultural, food production, or supply chain sectors.
  • Driver License required.
  • Age from 25 to 35 years old.
  • Skills: excellent time management and organizational abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Teams, Zoom).
  • Familiarity with agricultural terminology, business cycles, and supply chain dynamics is a plus.
  • High level of discretion, professionalism, and integrity when handling sensitive information.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Strong research, analytical, and problem-solving abilities.
  • Key Competencies: attention to detail and accuracy.
  • Proactive and self-motivated with the ability to anticipate the Managing Director’s needs.
  • Strong interpersonal skills to build relationships across all levels of the organization and with external partners.
  • Adaptability and flexibility to adjust to evolving priorities and business demands.
  • A passion for the agricultural industry and its role in food production, sustainability, and innovation.
  • Working Conditions: office-based role with occasional visits to agricultural sites, field operations, and industry events.
  • Flexibility for extended hours, includingable to travel with management to provinces frequently.
