1. Reporting & Communication

• Prepare and submit daily stock reports to COO, CFO, GM, Production Manager and Finance Manager.
• Provide daily stock updates to General Manager including stock allocation, available stock, and estimated arrival dates.
• Present stock status and key issues in weekly meetings with top management.

2. Stock Monitoring & Control

• Monitor all stock levels, stock movement, stock on hand, stock release, and product aging.
• Track all inventory including on-hand stock, in-transit stock, production stock, and incoming shipments.
• Monitor aging stock, slow-moving stock, and high-value inventory for management review.
• Ensure accurate tracking of product movement from order to delivery.

3. Data Analysis & Reporting

• Perform weekly and monthly analysis of stock movement and inventory performance.
• Analyze sales team performance in relation to stock availability and allocation.
• Highlight risks such as overstock, slow-moving inventory, or stock shortages.

4. Planning & Coordination

• Coordinate with Production Planning Manager and Finance Manager for monthly production and ordering plans.
• Track production schedules, pre-orders, and in-transit goods to ensure timely availability.
• Confirm stock arrival timelines and communicate updates to Sales Managers (SMs).
• Receive and process pre-orders from the sales team.
• Input color and specification orders based on customer bookings and available stock.

5. Stock Allocation & Distribution

• Allocate stock to Sales Managers and responsible PICs based on availability and priority.
• Inform relevant teams of estimated arrival dates and stock readiness.
• Ensure proper distribution of inventory to support sales operations.

6. Issue Resolution

• Resolve issues related to vehicle damage, missing parts, painting, and quality concerns in coordination with HMAC, Service Advisors (SA), Body & Paint, and related departments.
• Provide timely solutions to operational stock-related problems.

7. Compliance & Inventory Audit

• Ensure proper documentation and system readiness for monthly and year-end stock counts.
• Work closely with Finance and external auditors during stock audits.
• Maintain accurate inventory records for audit compliance.

8. Logistics & Documentation

• Collaborate with Finance and Logistics teams to request and manage vehicle tax documents.
• Track and ensure completeness of shipping and import documentation.

• Bachelor in Logistics and Supply Chain Management or related flieds
• Stock is accurate, visible, and controlled at all times
• Management gets reliable daily decision-making data
• Sales teams receive stock on time with clear allocation
• Finance and audit processes run smoothly with no surprises
• Operational issues are quickly resolved and minimized over time.
