Job Description

An Exciting Opportunity for ...

1. Procurement & Supply Management

• Process Purchase Requests: Manage and execute purchase requests for Admin, HQ, and all branch operations on a daily, monthly, and urgent basis.

• Inventory Control: Monitor stock levels for office supplies, stationery, and drinking water, place orders to ensure zero downtime.

• Sourcing: Conduct external purchasing for urgent office supplies and other operational needs as required.

2. Fleet & Vehicle Management

• Compliance & Documentation: Manage vehicle registrations, ownership transfers, and annual road tax procedures.

• Insurance & Inspections: Oversee vehicle insurance (renewals and claims) and track inspection expiry dates to ensure the master file is always up to date.

• Maintenance & Tracking: Record and track maintenance schedules for all trucks and operational vehicles coordinate with suppliers for GPS installation and maintenance.

• Authority Liaison: Coordinate with local authorities regarding annual truck stickers and other road-related fees.

3. Administrative & Facility Operations

• Document Management: Scan and record all transaction documents and maintain an organized digital filing system.

• Asset Management: Execute internal procedures for inventory/fixed asset transfers and maintain accurate records for furniture and vehicles.

• Operational Support: Provide utility and operational support to HQ and all branch locations.

• Staff Supervision: Supervise and assign daily tasks to the internal support team, including drivers and cleaners.

4. Financial & Compliance Liaison

• Petty Cash Management: Handle company petty cash (TF1 & TF2), including expense tracking, settlements, and payment reimbursements.

• Government Liaison: Represent the company at various ministries (MOC, Khan, and PP City Hall) to certify documents such as Patents, Vehicle ID cards, and other legal permits.

• Vendor Relations: Build and maintain strong professional relationships with corporate suppliers (Security, Cleaning, Telecom, and Equipment maintenance).

5. Other Duties

• Perform additional tasks assigned by the Admin Supervisor.
