The Executive Assistant (EA) will provide high-level, confidential administrative and operational support directly to the top management. This role requires exceptional organizational skills, professional representation, and fluency in both Chinese and English, acting as a critical link between the management team, internal departments, and external partners. The EA must be prepared for regular business travel, including provincial site visits.

Management Representation & Communication

  • Act as the primary point of contact and representative for the Executive team, liaising with internal staff, clients, partners, and government bodies with the utmost professionalism.
  • Manage sensitive information and maintain strict confidentiality regarding company strategy, personnel, and financial matters.
  • Prepare, proofread, and format confidential documents, presentations, and reports for Executive review.

Administrative & Operational Support

  • Manage complex calendars, scheduling meetings, teleconferences, and appointments across multiple time zones.
  • Arrange detailed domestic and international travel logistics, including flight, accommodation, and ground transportation for the executive team.
  • Oversee general office administration, ensuring efficient workflow and management of supplies, equipment, and vendor relations.

Translation & On-site Support

  • Provide real-time verbal interpretation (simultaneous and consecutive) and written translation of technical and business documents between Chinese (Mandarin) and English.
  • Accompany top management on frequent provincial site visits to construction projects or real estate holdings, providing on-the-ground administrative support, documentation, and translation.
  • Document meeting minutes and action items, particularly during bilingual internal and external sessions.

Job Requirements

  • Gender: Male candidate preferred to align with the specific requirements of the executive team and frequent site visit environments.
  • Language Fluency: Must be professionally fluent (verbal and written) in both English and Chinese (Mandarin)
  • Industry Experience: A minimum of 5 years of experience in an Executive Assistant, Personal Assistant, or similar high-level administrative role is required.
  • Sector Background: Prior working experience within the Construction, Engineering, or Real Estate Development industries is mandatory.
  • Technical Skills: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Travel: Must be willing and able to travel frequently to provincial sites with short notice.
